This policy explains how we collect, use, share, and protect personal data when you visit our website or interact with us, and sets out your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. Information we collect
Information you give us
- Identity and contact data: name, email address, telephone number, company name, and any other information you provide through our contact or enquiry forms, or when you subscribe to marketing communications.
- Correspondence: the content of messages you send us.
Information collected automatically
- Technical data: IP address, browser type and version, device type, operating system, and approximate (city-level) location derived from your IP address.
- Usage data: pages visited, time spent on pages, referral source, and interactions with our website, collected through cookies and similar technologies (see section 5).
- Marketing engagement data: whether you open or click links in our marketing emails, if you have consented to receive them.
We do not knowingly collect data from children under 18, and our website is not directed at them.
3. How we use your information and our lawful bases
Under UK GDPR we must have a lawful basis for each use of your personal data:

Where we rely on legitimate interests, we have balanced our interests against your rights and do not use your data where the impact on you would override those interests. You can request a copy of our assessment by contacting us.
We do not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects.
4. Who we share your data with
We do not sell or rent your personal data. We share it only with service providers (“processors”) who act on our instructions under contract, and with authorities where legally required. Our current providers include:
- Website analytics: Google Analytics (Google LLC) — website usage statistics
- Email marketing: Klaviyo — managing our marketing list and sending campaigns
- Marketing data synchronisation: Outfunnel — connecting our marketing and sales tools
- Website forms and email delivery: NativeForms, Web3Forms, EmailJS, and SendLayer — processing form submissions and delivering the resulting emails to us and confirmation emails to you; Google reCAPTCHA — protecting our forms from spam
- CRM: Pipedrive — managing enquiries and customer relationships
- Customer portal: WP Cloud Plugins (Use-your-Drive) with Google Drive — giving clients secure access to their project files
- Meeting booking: Calendly — scheduling appointments you book with us
- Website hosting and IT support providers
We may also disclose personal data to professional advisers (lawyers, accountants, insurers), and to courts, regulators, or law enforcement where required by law or to protect our legal rights.
5. Cookies
Our website uses cookies. Functional cookies are needed for the site to work and are always active. Preferences and statistics cookies (including Google Analytics) are set only with your consent, which we ask for via the consent pop-up when you first visit. You can change or withdraw your choices at any time using the Manage consent / View preferences option at the bottom of any page. Full details of each cookie are in our Cookie Policy.
6. International transfers
Some of our service providers (including Google, Klaviyo, and SendLayer) are based in, or process data in, countries outside the UK, including the United States. Where personal data is transferred outside the UK, we ensure it is protected by appropriate safeguards recognised under UK law, such as UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework, where the provider is certified) or the UK International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses. You can ask us for details of the safeguard applying to a specific transfer.
7. How long we keep your data
We keep personal data only as long as necessary for the purpose it was collected:
- Enquiries: up to 2 years after our last contact with you
- Marketing lists: until you unsubscribe or after 2 years of inactivity, whichever is sooner. If you opt out, we keep a minimal record (your email address) on a suppression list so we do not contact you again
- Contractual, accounting, and tax records: up to 6 years after the end of the relevant relationship, as required by law
- Analytics data: retained in aggregate/pseudonymised form per our analytics settings (currently up to 14 months)
When data is no longer needed, we securely delete or anonymise it.
8. Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — have inaccurate or incomplete data corrected
- Erasure — ask us to delete your data in certain circumstances
- Restriction — ask us to limit how we use your data in certain circumstances
- Data portability — receive data you provided to us in a structured, machine-readable format
- Objection — object to processing based on legitimate interests, and object at any time to direct marketing (we will always stop marketing to you if you object)
- Withdraw consent — where processing is based on consent, withdraw it at any time without affecting the lawfulness of processing before withdrawal
To exercise any of these rights, email info@bspatial.co.uk or call 01253 376376. We will respond within one month and will not charge a fee unless the request is manifestly unfounded or excessive. We may need to verify your identity before acting on a request.
Right to complain: if you are unhappy with how we handle your personal data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk, by phone on 0303 123 1113, or by post to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF. We would appreciate the chance to address your concerns first, so please consider contacting us before the ICO.
9. Data security
We use appropriate technical and organisational measures to protect your personal data, including encryption in transit (HTTPS), access controls, and vetting of our service providers. No internet transmission is completely secure, but we work to protect your data against unauthorised access, loss, or misuse, and we will notify you and the ICO of any breach where legally required.
10. Third-party links
Our website may link to third-party websites. This policy does not cover those sites, and we encourage you to read their privacy policies.
11. Changes to this policy
We may update this policy from time to time. The current version will always be published on this page with its effective date. Material changes will be highlighted on our website or, where appropriate, notified to you directly.
